Farm Foundation hosts public and private events in a variety of formats, including in-person, virtual and hybrid meetings, programs, forums, workshops, webinars and other gatherings.

By registering for, attending or otherwise participating in a Farm Foundation event, you agree to these Terms and Conditions and to follow any additional participation, confidentiality or attribution requirements communicated for a particular event or session.

Our Approach to Events

Farm Foundation’s mission is to build trust and understanding at the intersections of agriculture and society. Our events bring together people with different experiences, expertise, perspectives and approaches to exchange ideas, learn from one another and explore issues affecting food and agriculture.

We expect participants to contribute to an environment characterized by respect, curiosity, integrity and constructive dialogue. Participants are encouraged to listen for understanding, engage thoughtfully with differing perspectives, and challenge ideas without attacking individuals.

Farm Foundation is an independent, nonpartisan organization. Our events are intended to support meaningful exchange and learning and should not be interpreted as Farm Foundation endorsing the views, statements, organizations, products or policy positions of individual participants or speakers.

Participant Conduct

Participants are expected to engage professionally and respectfully with speakers, staff and fellow attendees.

Farm Foundation may moderate Q&A, chats, discussion boards and other interactive portions of an event or program. We reserve the right to select, edit or decline questions or comments and to limit participation when necessary to support the purpose and effective operation of the event.

Participants may not:

  1. Harass, threaten, intimidate or personally attack another participant, speaker or staff member.
  2. Use discriminatory, abusive, obscene or intentionally disruptive language or behavior.
  3. Disrupt an event or interfere with another person’s ability to participate.
  4. Use event discussions primarily to solicit business, promote products or services, or distribute unauthorized promotional materials.
  5. Misrepresent their identity, affiliation or role.
  6. Record, reproduce, livestream, transcribe or distribute event content except as expressly permitted by Farm Foundation.
  7. Use automated tools, including artificial intelligence tools, meeting bots or transcription services, to record, capture, transcribe or reproduce event discussions without prior authorization from Farm Foundation.

Farm Foundation may remove a participant from an event, restrict participation or deny future participation when necessary to protect participants or the integrity of its programs.

Attribution, Confidentiality and Chatham House Rule

Different Farm Foundation events and sessions may have different expectations regarding attribution and confidentiality. Farm Foundation will identify when special rules apply.

Unless otherwise stated, remarks made during a public Farm Foundation event may be referenced or attributed consistent with applicable copyright and other laws.

Certain Farm Foundation events, meetings, sessions or discussions may be designated as being held under the Chatham House Rule. When the Chatham House Rule applies, participants may use information and ideas shared during the discussion, but may not reveal the identity or affiliation of the speaker or any other participant associated with a particular comment, quotation, idea or viewpoint.

Participants may not publish, post, circulate or otherwise attribute quotations, comments, positions or ideas from a Chatham House Rule discussion to a specific individual or organization, including through social media, news media, newsletters, reports, presentations or other communications.

The Chatham House Rule applies equally to information captured through personal notes, screenshots, recordings, transcripts, artificial intelligence tools or other technologies.

Some events or sessions may instead be designated off the record, confidential or closed. Information shared during those sessions may not be recorded, quoted, attributed, published or distributed except as expressly authorized by Farm Foundation.

Participants are responsible for following the designation communicated for each event or session.

Photography, Video and Audio

Farm Foundation and its authorized representatives may photograph, film, livestream, record or otherwise document Farm Foundation events.

By attending or participating in an event, you acknowledge and agree that your name, image, likeness, voice, statements and participation may be captured in photographs, video, audio or other recordings made or authorized by Farm Foundation.

To the extent permitted by law, you grant Farm Foundation permission to use, reproduce, edit, publish, display, distribute and create derivative materials from such recordings and images for Farm Foundation’s educational, informational, archival, promotional, fundraising and communications purposes, in any format or media, now known or later developed, without additional approval or compensation.

Farm Foundation owns the photographs, video, audio and other recordings created by Farm Foundation or on its behalf, subject to any rights that speakers or other third parties may retain in their underlying materials.

Farm Foundation may use event recordings or excerpts on its website, social media channels, newsletters, publications, presentations, promotional materials, archives and other communications.

If an event or session is designated by Farm Foundation as off the record or not for recording, Farm Foundation will not publicly distribute a recording of that session unless participants have been informed otherwise in advance.

Participants who have concerns about being photographed or recorded should contact Farm Foundation before the event. Farm Foundation will make reasonable efforts to accommodate such requests when practicable but cannot guarantee that an attendee will not appear incidentally in photographs or footage of an in-person event.

Participant Recording and Use of Event Content

Unless Farm Foundation expressly provides permission, participants may not photograph, screen-record, audio-record, video-record, livestream, download, scrape, transcribe or otherwise capture or reproduce nonpublic event proceedings.

Participants also may not upload nonpublic event recordings, transcripts, presentation materials, participant information or other protected event content to public platforms, artificial intelligence systems or third-party services without authorization from Farm Foundation and, where applicable, the content owner.

Farm Foundation may make recordings, summaries, photographs or other event materials available after an event at its discretion.

Speakers and Presentation Materials

Speakers and presenters retain rights they may hold in their original presentations, research, remarks and other materials.

By providing presentation materials to Farm Foundation for use at an event, speakers authorize Farm Foundation to display and use those materials in connection with the event and its administration. Farm Foundation may also make presentation materials available to attendees or through its communications channels when permission to do so has been provided by the speaker or when otherwise authorized.

Materials from private or restricted events, including Farm Foundation Round Table meetings, may be made available only to the audiences designated by Farm Foundation.

Participants may not reproduce, republish or distribute speaker materials beyond the access provided by Farm Foundation unless permission has been granted by the applicable rights holder.

Participant Information

Farm Foundation may use participant names, titles, organizations and other information provided during registration to administer an event and facilitate participant engagement.

For certain events, participant names, titles and organizations may be included in attendee lists, directories, event platforms, name badges or similar event materials.

Contact information will be handled in accordance with Farm Foundation’s applicable privacy practices and will not be included in participant-facing materials unless communicated as part of the registration process or otherwise authorized.

Participants may not collect, scrape, reproduce or use attendee information for unsolicited mass marketing or commercial solicitation.

Event Changes and Participation

Farm Foundation may modify an event’s schedule, format, speakers, location or programming when circumstances require. Farm Foundation may also cancel or postpone an event.

Registration for or admission to a Farm Foundation event does not guarantee access to every session, activity or event component. Certain sessions may have additional eligibility, capacity, confidentiality or participation requirements.

Farm Foundation reserves the right to enforce these Terms and Conditions and any event-specific requirements to protect the integrity of its programs and the experience of participants.

Event Liability Disclaimer and Release

In consideration of being allowed to register for, and participate in, an event, activity, or experience (“Event”), I hereby waive, release from liability, assume all risks, and covenant not to sue Farm Foundation or its employees, board members, agents, or volunteers (the “Farm Foundation parties”) for any expense, loss, damage, personal injury (including loss of life, disability, or serious harm), property damage or theft, negligence, or actions (each, a “Loss”) resulting from or arising in connection with my travel to, attendance at, or participation in the Event and any related activities unless said Loss is caused by the sole, gross negligence of Farm Foundation. I agree that this waiver and release shall bind me and my personal representatives, shall be enforceable to the fullest and broadest extent of the law, and, if any portion is held invalid, the remainder should continue in full legal force and effect. I am an adult of sound mind and capable of entering into this waiver. I have read its terms and fully understand and agree to the provisions herein. I agree that this waiver shall be governed by and construed in accordance with the laws of the State of Illinois and enforced only in courts in the State of Illinois. I waive my rights under the Deceptive Trade Practices-Consumer Protection Act, under applicable law. After an opportunity to consult with an attorney of my own selection, I voluntarily consent to this waiver.

I understand and am aware that my participation in the Event involves risk, including, but not limited to, travel, physical activity, locales where public health and safety may be at risk, or activities that involve risk that I create for others or others may create for me. These risks may lead to a loss, and I nonetheless choose to participate in the Event. I am also aware that there are risks that I may not have considered, yet I waive my right to any claims that may occur from these unconsidered risks and I choose to participate in the Event. I acknowledge that no promises, representations, or affirmations of fact were made to me by Farm Foundation or its representatives concerning the safety or danger associated with traveling to the Event or participating in any activity or interaction related to or associated with the Event.

I agree to indemnify and hold harmless the Indemnified Parties from any loss, liability, damages or costs the Indemnified Parties may incur, whether caused by negligence, active or passive, or otherwise, in connection with my participation in the Event.
